Assistant Facilities Manager

Full-Time, Permanent
Salary: £32,000 - £35,000 + Car
Hours: Monday to Friday, 8:00am - 4:30pm (40 hours per week)
Location: Newcastle (NE12 9SE) and Thirsk (YO7 1PZ), with time split between both sites.

Our client, a leading provider of facilities services in the UK, is seeking an experienced Assistant Facilities Manager to support the delivery of Hard and Soft Facilities Management services across two government sites in the North East.

Working as part of a wider regional team, the successful candidate will play a key role in maintaining high standards of compliance, performance, and service delivery. This position offers exposure to a broad range of facilities services, including engineering, planned and reactive maintenance, cleaning, catering, and security.

The role requires a strong understanding of Hard FM operations, statutory compliance, planned preventative maintenance (PPM), reactive maintenance, and engineering service delivery. The successful candidate will also support the supervision of site-based teams, contractors, and suppliers while helping to ensure services are delivered safely, efficiently, and in line with contractual requirements.

Key Responsibilities

• Support the Contract Manager with the day-to-day delivery of Hard and Soft FM services across both sites.
• Ensure statutory, regulatory, and contractual compliance standards are maintained.
• Oversee planned preventative maintenance and reactive maintenance activities, ensuring works are completed within agreed SLAs and KPIs.
• Monitor maintenance records, compliance documentation, statutory inspections, and remedial actions.
• Coordinate engineering, cleaning, catering, and security service delivery.
• Provide day-to-day supervision and support to employees, contractors, and subcontractors.
• Monitor CAFM and Helpdesk activity, ensuring all jobs are accurately recorded and progressed through to completion.
• Support contract meetings, audits, inspections, performance reviews, health and safety activities, risk assessments, compliance reporting, and contract administration.

Person Specification

• Previous experience within a Facilities Management or Assistant Facilities Management role.
• Strong knowledge of Hard FM services, engineering maintenance, and statutory compliance.
• Experience working across multiple sites or within a complex FM environment.
• Previous experience supervising or managing teams within facilities operations, cleaning, or Soft FM services.
• Good understanding of PPM, reactive maintenance processes, CAFM systems, and Helpdesk operations.
• Experience managing contractors, subcontractors, and external service providers.
• Strong communication and stakeholder management skills.
• IOSH Managing Safely qualification or equivalent is desirable.
• Full UK driving licence is essential.
