Location: Gillingham, Kent – predominantly office-based
Salary: £50,000–£60,000 depending on experience
Contract: Full-time, permanent
Reporting to: Managing Director
About us
London Fire Solutions is an established and growing passive fire protection business, specialising in the manufacture, installation and maintenance of fire doors, fire stopping and compartmentation.
Operating from our 30,000 sq ft facility in Gillingham, we work with housing associations, local authorities, healthcare providers and main contractors across London and the South East.
As the business continues to grow, we're investing in our people, systems and technology to improve efficiency, strengthen our operations and provide a better service to our clients.
The role
We're looking for an experienced and commercially minded Business Systems Manager to take ownership of our business systems, integrations, automation and management information.
This is a new position reporting directly to the Managing Director and working closely with the senior management team.
Our main systems include HubSpot, OneTrace, Aeromark and Microsoft 365. We want someone who can make these systems work together effectively, reduce unnecessary administration and provide accurate, real-time information across the business.
This isn't simply an IT support role. We're looking for someone who understands business processes, can challenge existing ways of working and identify opportunities to improve productivity through technology, automation and AI.
Key responsibilities
Business systems and integration
Manage and continuously improve our core business systems, including HubSpot, OneTrace and Aeromark.
Develop integrations between systems using APIs and other appropriate technologies.
Work with departments to improve workflows, eliminate duplicated administration and maintain accurate data.
Ensure systems are used consistently and effectively across the business.
Reporting, automation and AI
Develop meaningful KPIs and live management dashboards covering operational, commercial and financial performance.
Build automated reporting using Power BI or existing reporting platforms.
Identify and implement opportunities to improve productivity through automation and AI.
Develop a systems improvement roadmap, prioritising projects and measuring their benefits.
IT, compliance and data management
Oversee Microsoft 365, SharePoint, document management and user access.
Manage external IT providers, supplier contracts, cybersecurity and technical support.
Support UK GDPR, Cyber Essentials and ISO management system requirements.
Ensure systems capture and retain accurate installation, certification and compliance records, including BM TRADA, FIRAS and applicable Building Safety Act requirements.
Lead systems projects and provide practical training and support to office and operational teams.
What we're looking for
Essential experience and skills
Proven experience managing and improving business systems within a growing business.
Strong CRM or operational management systems experience, ideally HubSpot.
Experience with systems integration, APIs and workflow automation.
Experience developing management dashboards and reporting.
Good working knowledge of Microsoft 365 and SharePoint.
Ability to manage external IT suppliers and deliver projects to agreed timescales and budgets.
Strong communication, organisational and problem-solving skills, with a practical, hands-on approach.
Desirable experience
Experience within construction, manufacturing, building services or another field-based business.
Knowledge of Power BI, AI automation, ISO management systems or construction compliance requirements.
What we offer
A competitive salary of £50,000–£60,000 depending on experience, with the opportunity to play an important role in the future development of an established and growing business.
You'll have direct access to the Managing Director, work closely with the senior management team and have genuine responsibility for improving how the business operates.
The role is predominantly office-based in Gillingham, with the potential for one day working from home per week following an initial three-month period, subject to performance and business requirements.
Why join us?
This is an opportunity to do more than maintain existing systems.
We're investing in technology, automation and AI, and want someone who can help shape how our business operates as we continue to grow.
If you enjoy solving problems, improving processes and making a measurable difference to a business, we'd like to hear from you.
