Job Title: Facilities Coordinator Type: 3 months temporary contractLocation: Yeovil Hourly rate: £16.34 - £21.26Hours: Part time and full time options 10 - 37 hours per week BRC are working closely with a leading housing provider to recruit a Facilities Coordinator to join their Workplace Solutions team.
With your proven customer service abilities and positive, proactive nature you'll play a key role in the Workplace Solutions team. You'll be responsible for not only keeping the environment and aesthetics of the corporate buildings to a high standard, but crucially ensuring they are meeting regulatory and legal standards in terms of compliance and building safety so previous experience in a similar role would be advantageous.
Duties:
- Responsible for building inspections (weekly and monthly). Ensuring a safe and compliant workplace, including building fabric, colleague equipment and proactively monitoring the condition of workplaces. Maintain workplace solutions stock levels.
- Take ownership of actions from building inspections or service requests and create action plans, including full resolution, or escalation by exception, commissioning any necessary works and communicating to stakeholders.
- Ensure the safety and wellbeing of people working within our workplaces, working with other central services colleagues to deliver consistently and collaboratively.
- Be responsible for the workplace elements of the colleague experience, ensuring a smooth colleague journey by providing access to relevant information on all workplaces. Working collaboratively to ensure the workplace remains a great place to work, which always puts the customer first.
- Ensure all communications are customer focussed and clear.
- Enable the regular occurrence of annual audits (i.e. Fire Risk Assessments, H&S audits), by providing access to sites and relevant documentation. Implementing any recommendations, commissioning necessary works and reporting regularly on progress.
- Troubleshoot, triage and resolve calls, queries and requests via the Workplace Solutions Helpdesk, complying with SLAs. Escalate to third parties as appropriate.
- Contribute to any incident response, supporting with Business Continuity activity, working to minimise any impact on our customers.
- Responsible for the security of the buildings, including opening/closing, training of keyholders from wider departments and OOH incident coordination in relation to the corporate estate.
- Support procurement processes, including preparation of specification and tender documents where required.
- Be responsible for specific facilities services contract management, acting as a primary point of contact, understanding contract requirements, holding regular contract review meetings, escalating issues by exception. (Contractors will be divided between workplace services colleagues)
- Day to day contractor management of all suppliers working onsite (including internal cleaners and Homecare colleagues) ensuring all necessary H&S and procurement requirements are undertaken.
- Line manage caretakers, including undertaking Great Conversations, ensuring completion of tasks and checklists.
Requirements:
- Self-motivated and enthusiastic with a solution focussed, positive 'can do, will do' attitude, putting the customer at the heart of every interaction.
- Proactive nature and the ability to act upon own initiative and effectively manage the workload with the ability to prioritise and work under pressure and to tight deadlines with a keen eye for detail.
- Effective interpersonal skills: flexible and committed, enthusiastic, takes ownership, promotes sharing of ideas and supports team members with their duties as required.
- Working knowledge of Microsoft Office packages including Outlook, Word & Excel IT and computer skills.
- First Aider and Fire Warden trained (Desirable but training can be given)
- IOSH Managing Safely (Desirable but training can be given)
- Full driving licence and/or the ability to travel in a timely and efficient manner to visit tenants, sites and attend meetings, frequently located in areas not covered by public transport.
