Full‑time | Monday to Friday, 9:00am - 5:00pm
A well‑established, growing organisation based in Newcastle‑under‑Lyme is looking to appoint an Office & Operations Coordinator to support the smooth day‑to‑day running of the business.
This a varied, fast‑paced role at the heart of the organisation.
Key Responsibilities
Office Coordination & Front‑of‑House
- Act as the first point of contact for visitors and incoming communications, representing the business in a professional and welcoming manner
- Manage calls efficiently, directing enquiries and providing effective gatekeeping support
- Support the smooth running of meetings, including room preparation and refreshments
Operations & Office Environment
- Take ownership of the office environment, ensuring it is organised, well‑stocked, and operating efficiently
- Manage office, kitchen, and facilities supplies, liaising with suppliers as required
- Oversee shared equipment and facilities to ensure consistent usability
- Contribute to a positive, professional, and productive workplace culture
Events, Conferences & Coordination
- Support the organisation and coordination of national and international conferences and exhibitions
- Liaise with internal teams, external suppliers, and international colleagues to ensure smooth delivery
- Track event planning progress, budgets, and costings
- Support event‑related marketing and business initiatives
- Coordinate specialist resources, including exhibition materials and equipment
Business Support
- Provide ad hoc administrative and operational support across the business
- Manage travel logistics, including flights, accommodation, and transport arrangements

- Highly organised with strong attention to detail
- Proactive self‑starter, able to manage and prioritise a diverse workload

- Comfortable working independently and collaboratively
- Confident using Microsoft Office
- Diplomatic and able to handle queries with discretion
- Able to work to deadlines
- Flexible and open to new challenges
Package & Benefits
- £25,000-£30,000 basic salary (depending on experience)
